Acceptable Use Policy
1. Purpose
Nastrum Books is a cloud accounting platform built to help legitimate businesses, freelancers, and accountants manage their finances. This policy exists to protect our users, our infrastructure, and our ability to provide a reliable service to everyone.
Most users will never need to read this policy — it describes things that honest business users simply would not do. But having it documented matters for legal clarity and for the rare cases where enforcement becomes necessary.
2. Financial & Legal Prohibitions
Given the nature of Nastrum Books as a financial platform, the following activities are strictly prohibited and may result in immediate account termination and reporting to relevant authorities:
- Financial fraud: Using the platform to create, record, or facilitate fraudulent invoices, transactions, or financial records — including fake invoices, inflated expenses, or fabricated revenue figures.
- Money laundering: Using the platform to process, layer, or integrate proceeds from criminal activity, or to structure transactions to evade financial reporting requirements.
- Tax evasion: Using the platform to deliberately falsify financial records for the purpose of evading tax obligations. (Tax planning within the law is not prohibited.)
- Sanctions violations: Using the platform to conduct business with individuals, entities, or countries subject to international sanctions (including OFAC, UN, EU, and UAE sanctions lists).
- Bribery and corruption: Recording or facilitating bribery payments, kickbacks, or other corrupt transactions through the platform.
- Operating without legal authorisation: Using the platform for business activities that require a licence or regulatory approval that you do not hold.
3. Technical Prohibitions
You must not attempt to compromise the security, integrity, or availability of Nastrum Books:
- Reverse engineering: Decompiling, disassembling, reverse engineering, or otherwise attempting to extract the source code, algorithms, or trade secrets of the platform.
- Unauthorised access: Attempting to gain access to accounts, data, or systems that do not belong to you, including by exploiting vulnerabilities, guessing credentials, or bypassing authentication.
- Automated scraping: Using bots, crawlers, scrapers, or automated scripts to access, extract, or index data from the platform without our prior written permission.
- Denial of service: Attempting to overload, disrupt, or degrade the service through excessive automated requests, distributed attacks, or any other means.
- Malware: Uploading, introducing, or distributing malicious software, viruses, trojans, ransomware, or any code designed to harm the platform or other users.
- Vulnerability exploitation: Exploiting known or discovered security vulnerabilities for any purpose other than responsible disclosure to us at hello@nastrumbooks.com.
- Circumventing limits: Creating multiple accounts, companies, or using other techniques to circumvent plan limits (e.g. storage quotas, user counts, company counts) without paying for a higher plan.
If you discover a security vulnerability, please report it responsibly to hello@nastrumbooks.com. We take security reports seriously and will respond promptly.
4. Account & Access Rules
- You may only create one Account per person. Creating multiple accounts to benefit from free trial or guarantee periods multiple times is not permitted.
- You must not share your login credentials with people who are not authorised team members on your account. If you need to give someone access, use the built-in Team Management feature to invite them as a team member.
- You must not create an account or manage data on behalf of another person without their knowledge and consent.
- You must keep your account information (name, email, billing details) accurate and up to date.
- You are responsible for all activity on your account. If you believe your account has been accessed without authorisation, notify us immediately at hello@nastrumbooks.com.
- You must not register accounts using false identities, disposable email addresses created solely to circumvent restrictions, or automated registration methods.
5. Content Rules
Content you upload to Nastrum Books (files, attachments, notes, descriptions) must not:
- Infringe third-party intellectual property rights, including uploading documents or files you do not have the right to store or process.
- Contain malware, viruses, or malicious code of any kind.
- Contain material that is unlawful, defamatory, obscene, or that violates applicable laws in your jurisdiction.
- Include personal data of third parties that you do not have a lawful basis to process. You are responsible for your own compliance with data protection laws when entering customer, employee, or vendor data into the platform.
We do not routinely inspect the content of your financial records or uploaded files. However, we reserve the right to review content where we have reasonable grounds to believe a violation of this policy has occurred.
6. Resale & Commercial Restrictions
- No resale: You may not resell, sublicense, or provide access to Nastrum Books as a standalone product or service to third parties without our prior written authorisation.
- No white-labelling without agreement: You may not rebrand or white-label the Nastrum Books interface and present it as your own product without a written partnership agreement with Nastrum AI.
- API usage: If we provide an API, it may only be used for its intended purpose (integrating with your own systems). Bulk data extraction, competitive intelligence gathering, or building products that compete with Nastrum Books using our API is not permitted.
- Accountants and bookkeepers: Using Nastrum Books to manage accounts for your own clients (through the multi-company feature) is explicitly permitted and is a supported use case. What is not permitted is charging clients for "access to your Nastrum Books account" as though it were your own product.
7. Fair Use
All plans are subject to fair and reasonable use. The storage and user limits described on our Pricing page set the formal boundaries, but we also expect that usage falls within reasonable expectations for the plan type.
Examples of usage that falls outside fair use (even within technical limits):
- Uploading millions of low-value transactions via API in a way that degrades service for other users.
- Using automated processes to generate large volumes of dummy records for testing purposes on a production account.
- Maintaining an unusually large number of companies on a plan not designed for that scale.
If your usage approaches or exceeds what we consider fair for your plan, we will contact you to discuss a custom arrangement or appropriate upgrade. We will not terminate accounts for fair use concerns without prior notice and discussion.
8. Consequences of Violations
The severity of our response will be proportionate to the nature of the violation:
Minor violations (first-time, unintentional)
- A written warning explaining the violation.
- A reasonable timeframe to remedy the issue.
Serious or repeated violations
- Temporary suspension of account access.
- Permanent termination of the account.
- Forfeiture of any remaining prepaid subscription without refund.
Illegal activity
- Immediate account termination without notice.
- Preservation of relevant data for law enforcement purposes.
- Reporting to relevant authorities, including financial regulators, law enforcement, and anti-money laundering agencies.
- Civil or criminal legal action where warranted.
We will always act in good faith. If you believe your account has been suspended in error, contact us at hello@nastrumbooks.com and we will review the decision.
9. Reporting Violations
If you become aware of another user violating this policy — particularly if you suspect fraudulent activity, illegal use, or security threats — please report it to us:
Subject: AUP Violation Report
Reports are treated confidentially. We will investigate and take appropriate action. We do not disclose the identity of reporters to the reported party.
10. Changes to This Policy
We may update this AUP to reflect changes in the service, applicable law, or best practice. Material changes will be notified by email at least 30 days before taking effect. Minor clarifications may be made without prior notice.
This AUP forms part of the Terms of Service. In the event of any conflict between this AUP and the Terms of Service, the Terms of Service takes precedence.
