Refund & Cancellation Policy

We want you to be confident using Nastrum Books. This policy explains exactly how cancellations work, when refunds apply, and what happens to your data and subscription after you cancel. No surprises.

1. How to Cancel

You can cancel your Nastrum Books subscription at any time — no phone call required, no cancellation fee.

Option A — Self-service (instant)

  • Log in to your Nastrum Books account.
  • Go to Settings → Billing.
  • Click "Cancel Subscription" and follow the on-screen steps.
  • You will receive a confirmation email immediately.

Option B — Email us

Email hello@nastrumbooks.com with the subject line "Cancel my subscription" and include the email address on your account. We will process the cancellation within 1 business day and confirm by email.

Cancellation takes effect at the end of your current billing period. You keep full access to all paid features until then.

2. 14-Day Money-Back Guarantee

If you are not satisfied with a paid plan, you can request a full refund within 14 days of your first payment on that plan. No questions asked.

  • The 14-day window starts on the date your first payment is processed — not the date you signed up.
  • This applies to your first payment on each plan level. If you upgrade from Team to Studio, a new 14-day window opens for the Studio plan.
  • It applies once per plan level per account. If you cancel a plan, receive a refund, and then re-subscribe to the same plan, the guarantee does not apply again.
  • It applies to both monthly and annual plans.

To claim your refund, email hello@nastrumbooks.com within 14 days of your payment with subject line "Refund request". Include your account email and the reason for your request (optional — helps us improve).

3. Monthly Plan Cancellation

When you cancel a monthly plan:

  • Your subscription remains active until the last day of the current billing month.
  • You will not be charged for the next month.
  • You retain full access to all paid features until the billing period ends.
  • No partial-month refund is issued for the remaining days unless you are within the 14-day guarantee window.
  • After the period ends, your account automatically moves to the Solo (free) plan or closes, depending on your preference.

Example: You are billed on the 1st of each month. You cancel on the 15th. You keep access until the 31st. No charge on the 1st of the following month.

4. Annual Plan Cancellation

Annual plans are billed upfront for the full year at a discounted rate.

  • You may cancel an annual plan at any time.
  • If cancelled within the 14-day guarantee window, you receive a full refund.
  • If cancelled after the 14-day window, no refund is issued for the remaining months of the annual term. However, you retain full access to all paid features until the end of the annual period you have paid for.
  • Your annual plan will not auto-renew after you cancel. We will send a renewal reminder 30 days before the renewal date so you can make a conscious decision.

Exception — plan discontinuation: If we discontinue your plan during your annual term, you are entitled to a prorated refund for the unused period. See our Terms of Service Section 6 for details.

5. Free Plan (Solo) Cancellation

The Solo plan is free forever and requires no cancellation. There is no billing to stop.

If you wish to close your free account entirely and have your data deleted:

After deletion, your data is retained for 30 days (giving you time to export) and then permanently deleted. See Section 7 below.

6. Downgrades

You may downgrade to a lower-tier paid plan or to the free Solo plan at any time.

  • Downgrades take effect at the end of your current billing period.
  • You keep your current plan's features and limits until the period ends.
  • No refund is issued for the price difference when downgrading mid-period.
  • When your downgrade takes effect, you may lose access to features or exceed the new plan's limits (e.g. more companies than the lower plan allows). We will warn you in advance so you can adjust.
  • Your accounting data is never deleted as a result of a downgrade. If you exceed an attachment storage limit after downgrading, existing files are preserved — you simply cannot upload new attachments until you are within the new limit.

7. What Happens to Your Data After Cancellation

Your data is yours. We make it easy to leave and take it with you.

During the active period (until billing period ends)

  • Full access to all features and data export tools.
  • You can export everything: invoices, transactions, reports, expenses in CSV or PDF format.

After the billing period ends (account downgraded or closed)

  • If you downgrade to Solo: your data remains fully accessible. Only plan limits change.
  • If you close your account: your data enters a 30-day read-only retention period. You can log in, view everything, and export at any time during these 30 days.
  • After 30 days: your data is permanently and irreversibly deleted from our systems and backups within a further 60 days.

Billing records

  • Billing records (invoices, payment history) may be retained for up to 7 years to comply with financial record-keeping obligations. This is a legal requirement, not a choice.

We strongly recommend exporting your data before closing your account. Export tools are available from any page in the app under Settings → Import/Export.

8. Failed Payments

If a payment fails (expired card, insufficient funds, bank decline):

  • We will notify you immediately by email.
  • We will automatically retry the payment after 3 days and again after 7 days.
  • If payment remains unsuccessful after 7 days, your account will be automatically downgraded to the free Solo plan.
  • Your data is fully preserved during this process — nothing is deleted.
  • Once you update your payment method and payment is processed, your paid plan is reinstated immediately with no data loss.

To update your payment method, go to Settings → Billing → Payment Method or email hello@nastrumbooks.com.

9. Refund Process & Timelines

Once a refund is approved:

  • Refunds are issued to the original payment method only. We cannot issue refunds to a different card or account.
  • Credit/debit card refunds typically appear within 5–10 business days, depending on your bank or card issuer.
  • We will send a confirmation email when the refund is processed on our side.
  • If you do not see the refund after 10 business days, contact your bank first — then reach out to us if they cannot locate it.

We will acknowledge your refund request within 2 business days and process eligible refunds within 5 business days of approval.

10. Exceptions & Special Cases

10.1 Service Discontinuation

If we discontinue Nastrum Books entirely, all subscribers will receive a prorated refund for any prepaid period that extends beyond the shutdown date, with no need to request it. See Terms of Service Section 9.2.

10.2 Plan Discontinued Mid-Term

If your specific plan is discontinued during an active annual billing period, you are entitled to a prorated refund for the unused portion if the replacement plan costs more than your original plan.

10.3 Account Terminated for Policy Violation

If we terminate your account due to a violation of our Terms of Service or Acceptable Use Policy, no refund will be issued. You will be given 7 days to export your data before deletion.

10.4 Chargebacks

If you initiate a chargeback with your bank or card issuer rather than contacting us first, we reserve the right to immediately suspend your account pending resolution. We encourage you to contact us first — we resolve legitimate disputes quickly and without the need for a formal chargeback.

10.5 Consumer Protection Laws

Nothing in this policy limits any statutory rights you may have under consumer protection laws in your country. If your local law grants you a longer refund window or broader rights than described here, those rights apply.

11. Consumer Rights by Region

  • European Union: EU consumers have a 14-day statutory right of withdrawal from digital services. Our 14-day guarantee aligns with this right. By using the service before the 14-day period expires, you may waive the statutory right of withdrawal for digital services already delivered, but our commercial guarantee still applies.
  • United Kingdom: UK consumers have rights under the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013. Our policy is designed to be consistent with these rights.
  • Australia: Australian consumers have rights under the Australian Consumer Law that cannot be excluded. This policy does not limit those rights.
  • India: Consumers in India have rights under the Consumer Protection Act 2019. This policy does not limit those rights.
